Product Security – Live Vehicle Tracking

In terms of product security and expectant delivery times, each vehicle attributed to the Eleanor fleet and warehouse product portfolio is tracked throughout the journey to each hospital, providing GPRS data to our service support team and notifying them when the vehicle has reached the hospital. The system enables the Trust to define a drop-off time and days of the week when they require a delivery. The GPRS data is uploaded into the HOSLO system, and performance is shown in the Trust service dashboard.

Supplier Hospital Drop Off – Goods in/Back Door Controls

The dynamics of each hospital goods in-store will fundamentally change for the better as the new materials management service protocols and redesigns are initiated.

Hospital Goods in Stores Infrastructure

Eleanor has continually revamped multiple hospital goods in stores, implemented end-to-end HOSLO system tracking, communal/managerial offices and created warm and dedicated spaces for their staff to change, take their breaks and lunch. Below is just one example of no digital presence, poor practice, security, controls and layout at a leading London hospital. Goods were displaced, unknown, expired, and stored outside; some orders were not resolved with the supplier for over two years and a fundamental lack of care or direction for their staff team members. Picture (right) shows the transformation, including a full system of zoning and tracking just three days later under the control and guidance of Eleanor.

Managing Inbound Deliveries Under One HOSLO System Platform

The consolidation of product streams is essential as this will allow the materials management team to take ownership of the scanning and ordering process across all the various types of inventory entering the hospital. By creating a HOSLO and Trust procurement system interface to push and pull order information generated via end users through eProcurement, it allows the HOSLO system to identify every order entering the hospital on inbound.

With a well-organised hospital receipt and distribution area, a significantly reduced e- Procurement catalogue (with restrictions on end users placing orders online) and a new HOSLO tracking system installed, With almost all hospital materials inventory under one single catalogue held within the HOSLO system, Eleanor will be in full control of all product streams entering the hospital receipt and delivery point. Whether orders are received via NHS Supply Chain, direct suppliers or an Eleanor off-site warehouse, the system will recognise all open purchase orders through internal and Trust system integrations, which include ‘non-materials managed’ eProcurement lines’ as HOSLO will encourage hospital groups and Trusts to push eProc open orders into HOSLO via a secured system interface.

Supplier Inbound Delivery Performance

As part of the relationship management programme within Module 1 between Eleanor and the NHS procurement teams, ‘Supplier relationship’ and ‘engagement management’ is key to the success of a service contract. Quarter reviews and publication of HOSLO supplier delivery (inc carbon footprint) volume, lead times, Scan4Safety progression, and OTIF order performance is key. Full visibility of supplier purchase order errors and costs along with key ‘strategic’ suppliers or perhaps send their volume and performance data to them for review from our HOSLO system.
